Document translation guide
How to Translate Documents Without Losing Formatting
The file you start with affects how much formatting can be retained. Use the editable original where possible, prepare it carefully, and review the result in the software your audience will use.

1. Choose the editable source
A DOCX, XLSX or PPTX contains editable text alongside styles, cells or slide objects. If you also have a PDF export of that file, the original Office version is usually the better choice for keeping its editable structure. A screenshot of a page is an image, so its text must be read and rebuilt before it can become an editable translation.
Corporate Translate works within the supported Office file structure. Text-based PDFs take a conversion and rebuilding route, while scanned pages are reconstructed from their recognised text. These are different processes and should not carry the same expectations about the finished layout.
2. Check content that is not ordinary text
- Word: review tracked changes, comments, headers and footers. Essential wording in an image will not behave like an ordinary paragraph.
- Excel: identify formula-generated labels, chart titles and embedded pictures. Supported cell text is translated, while formulas, numeric values and worksheet names are preserved.
- PowerPoint: inspect SmartArt, embedded charts and pictures. The supported translation path covers slide text, tables and speaker notes, but not every graphic object.
3. Leave room for another language
Two languages do not need the same number of characters to express a sentence. Preserving a text box's position or a table's column width cannot guarantee that all translated wording fits without a review. A short heading may become two lines; a dense slide may need a smaller amount of text or more space.
Before upload, reduce unnecessary manual line breaks and avoid packing important text tightly into fixed boxes. After translation, check the longest labels and narrowest columns first. For right-to-left scripts, also inspect paragraph direction, punctuation and the order of mixed numbers and text.
4. Compare the original and the result
- Open both files and compare headings, tables, slide order and page breaks.
- Check names, dates, figures, references and recurring business terminology.
- Confirm that spreadsheet calculations still behave as expected and that chart labels have been handled separately where needed.
- Review the language as well as the appearance. A formatting check is not a linguistic accuracy check.
- Save a local copy of the translated file before its 30-day access period expires.
Understand the guarantee
The published terms explain the refund for qualifying formatting damage caused by processing, including separate layout-faithful coverage for text-based PDFs. Scanned pages and photographs are reconstructions and fall outside the formatting guarantee. Human review and certification are not included in the AI service.
Use the downloadable examples to inspect editable files before uploading your own. The English and prepared German examples demonstrate formatting and structure; a live AI translation can use different wording.
